Information about the Pharmaceutical Code.

For companies in the pharmaceutical industry, as well as members of the associations “Freiwillige Selbstkontrolle für die Arzneimittelindustrie e.V.” and “Arzneimittel und Kooperation im Gesundheitswesen e.V.,” a venue that complies with the code of conduct is the most important factor when selecting a location for an event.

The Pharmaceutical Code is an ethically motivated, voluntary agreement among pharmaceutical companies designed to ensure fair conduct in areas where conflicts of interest may arise.

The hotel and conference venue must have a distinctly business-oriented character; entertainment and recreational offerings such as wellness facilities, theater performances, casinos, etc., must not be the primary focus.

When choosing a hotel or event venue, accessibility is a key consideration; in other words, it is important to ensure good connections to public transportation, the airport, and road networks. As one of Germany’s most centrally located cities, Hannover is fortunate that all relevant service providers meet these criteria.

Of course, when selecting a hotel and conference venue, we also take into account (in accordance with the Code guidelines) their public image, their online presence, as well as their technical facilities and sufficient capacity.

Costs – Catering and Conference Package

The cost of overnight accommodation must be reasonable (Section 19 of the AKG Code). It should be noted that a hotel reservation may only be made if it is necessary and reasonable. The decisive factors here are the travel times to and from the place of residence and the duration of the event.

The conference package (which covers food and beverages) must not exceed the entertainment expense limit of €75.00. The duration of the program and the duration of the hospitality should be in balance.

Code-Compliant Meetings - Procedure

Program planning should—in addition to the tax requirements set by the

Tax offices for regular working hours – please adhere to the following times:

An 8-hour academic program, including breaks, for a full-day event

4 hours of scientific programming, including a break, for a half-day event

Framework programs

As a general rule, excessive social and recreational activities should not be included in the official conference program.

Nevertheless, Hannover has a lot to offer and is always worth a visit!
